Internship – Trainee Account Executive

A fantastic opportunity has arisen for a recent graduate to join a growing medical communications agency, on a six month internship as a Trainee Account Executive, from 1st September 2016.  You will be an integral part of a diverse team of employees developing and maintaining outstanding, ‘world class’ service relationships with clients, experts, suppliers and internal teams.

Purpose

For all allocated projects, manage the process of delivery, deliver the logistical aspects and communicate these aspects of a project to internal and external stakeholders.

Reporting to the Business Support Director and working within the account team, you will learn to administer the following duties:  

 Primary responsibilities

 1.      Delivery

For all allocated projects:

  • Understand objectives and what’s needed to achieve them
  • Deliver all logistical aspects of allocated project(s).  Examples include, but are not limited to:
    • Venue/AV
    • Digital and print items
    • Submission of publication(s)
    • On-site equipment preparation (identification of requirements; booking; updating; packing/unpacking equipment)
    • Stationary orders for project team’s requirements

  2.      Process and SOPs

For all allocated projects:

  • Develop schedule
  • Organise project initiation meeting with Internal Project Team (IPT*), as determined by the Account Director (AD)/Director on the programme.  Topics for discussion at the initiation meeting include, but are not limited to:
    • Schedule for project
    • Roles and responsibilities of members of IPT on project
    • Project budget
    • Manage schedule for project team
    • Create status report template for project based on client’s requirements
    • Identify all h:c SOPs relevant to the Account Executive (AE)’s role and comply with them
    • Identify all client SOPs relevant to the AE’s role and comply with them.  Examples include, but are not limited to:
      • Compliance-related SOPs

  3.      Communication

For all allocated projects:

  • Populate status report regarding logistical aspects of project
  • Co-ordinate other IPT members’ input/updating of status report
  • Share status report with client, as per agreed schedule
  • Organise regular and ad-hoc client/internal update meetings as required
  • Proactively communicate with IPT members regarding logistical aspects of allocated project(s)
  • Proactively communicate with relevant external stakeholders regarding logistical aspects of allocated project(s)

  4.      Financial management

For all allocated projects:

  • Provide specific project-related costs to the Account Manager (AM)/Senior Account Manager (SAM)/Scientific Advisory (SA)/AD/Director to support development of project budget
  • Ensure a job number is raised when a project is initiated
  • Ensure the relevant file structure is set up on the server when a project is initiated
  • Actively monitor/track expenditure versus budget and flag issues to AM/SAM/SA
  • Comply with all h:c financial SOPs.  Examples include, but are not limited to: 

-   Raising POs

-   Updating credit card log

-   Maintaining travel log

  5.      New business

  • Assist/provide support for new business activities
  • Flag any potential opportunities you become aware of to the AD/Director

  6.      Other job related information

  • International/UK based travel may be required in this role, depending on project allocation

You will be someone who is educated to degree level of 2:1 or above, preferably in science and who wants to deliver an excellent service, be proactive, optimistic, and not afraid of hard work.

You must also be able to work in a very fast-paced environment and have the ability to be accurate at all times. You will be an excellent multi-tasker and be able to work well under pressure.

In return you will benefit from £14,040.00 pro rata, per annum and 12 days annual leave.

Purpose

 Account Manager

A fantastic opportunity has arisen for an experienced Account Manager to join a growing medical communications agency.  The successful candidate will be an integral part of a diverse team of employees developing and maintaining outstanding, ‘world class’ service relationships with clients, experts, suppliers and internal teams.

Purpose

Manage the account/projects within an account and work in partnership with Account Executives (AEs), Medical Writers (MWs; internal and external) and/or Scientific Advisor (SA), under the direction of the Account Director (AD)/Director, to ensure the successful delivery of all allocated projects, and provide a solid foundation for on-going business.

 Primary responsibilities

 1.      Delivery

For all allocated projects/accounts:

  • Understand the client’s strategic objectives relating to the product(s), plus the objectives for all account-related projects
  • Ensure understanding of brief from client and what’s required to achieve the desired outcome(s)
  • Co-ordinate the resources required to successfully deliver the account’s project(s), flagging where necessary requirements for additional resources to deliver projects successfully
  • Allocate AE resource roles and responsibilities
  • Generate draft content of project materials, as appropriate to role and project, for review by MW, SA and/or Director
  • Develop effective working relationships with key internal and external stakeholders in order to successfully deliver projects
  • Ensure the quality of AE-generated materials matches h:c’s standards. Examples include, but are not limited to:

-   Delegate packs

-   On-site manuals

-   Status reports

  • Sense-check materials generated by freelancers, in-house MW and/or SA and, on request, AD/Director
  • Take responsibility for the quality of final deliverables provided to client
  • Further develop expertise in industry-relevant information, including, but not limited to, compliance and transparency regulations
  • Recognise potential barriers to successful delivery, proactively identify possible solutions and flag to AD/Director

  2.      Process and SOPs

For all allocated projects/accounts:

  • Be aware of/familiar with country-specific compliance requirements and ensure these are adhered with
  • Identify all h:c SOPs relevant to the Account Manager (AM)/Senior Account Manager (SAM)’s role and comply with them
  • Identify all client’s SOPs relevant to the AM/SAM’s role, including, but not limited to, compliance SOPs, and comply with them

 3.      Communication

For all allocated projects/accounts:

  • Proactively communicate with the project’s MWs and/or SAs and AEs to ensure they fully understand the project’s brief
  • Proactively communicate with all Internal Project Team (IPT*) members to ensure they are kept up-to-date regarding the account’s projects, in line with the role and responsibilities agreed with the AD/Director and other IPT members
  • Take responsibility for routine liaison with external stakeholders, including clients, to ensure they are kept up to date regarding the account’s projects, in line with the roles and responsibilities agreed with the AD/Director and other IPT members
  • Update the status report for projects/accounts worked on, in line with AM/SAM areas of responsibility, plus relevant information provided by client
  • Develop and manage agenda for discussions with clients in regular meetings/on an ad-hoc basis
  • Proactively communicate country-specific compliance requirements relating to account’s projects to IPT members

 4.      Financial management

For all allocated projects/accounts:

  • At the start of each project develop a draft budget for review by the AD/Director on the account
  • Reconcile each project on completion
  • Request invoices, credit notes etc. from the Finance Manager in line with h:c financial SOPs
  • Generate income forecasts for projects
  • Maintain all relevant financial tracking tools, in line with h:c financial SOPs
  • Flag potential consequences of any project-related overspend to the AD/Director overseeing the account

 5.      New business

  • Assist and/or lead new business activities and support the transition to live account status
  • Actively identify opportunities for new business (organic growth within existing accounts and new accounts)

 6.      Other job related information

  • International/UK based travel will be required in this role
